Partnership agreement Management: Manage partnership agreements throughout the operations management cycle. Starting from the assessment and selection of best-fit partners as per UNHCR rules and procedures on Partners Selection and Retention.
Provide support to the IPMC secretary as and when required. Ensure the partnership agreement is properly designed, with active participation in target setting and budget negotiation.
The agreement is established and timely signed, administer and oversee the partner's budget allocation/expenditures, monitor implementation and progress of planned activities, and the final submission of reports and audit certificates.
Monitoring and indicator reporting: Follow up on achievements reported by all partners on Activity info, on monthly basis, and consolidate progress against overall planned targets. Provide inputs towards Country Operations Plan Mid-Year and Year-End reports.
Direct Implementation Support: Provide required support in relation to direct implementation activities,
including tracking of progress and monitoring of implementation. Prepare payments for PO and non-PO vouchers, including pending payments for vehicle rental previously deployed directly to partners. Generate reports and provide support as and when required. Furthermore, act as the countrywide focal point for e-SAFE, and ensure all documents are collected and duly uploaded.
Preparing and reviewing partners' reporting inputs and templates.
Maintaining several tables, such as OP's OL table weekly / monthly, as well as contributing to the preparation and submitting of the MYR and EYR reports by collecting and compiling the partner's performance reports into one final report.
Managing remote monitoring tool from partner's reports and the PTD (Project Tracking Database) as follows:
- Uploading the Project activities into the system.
- Close follow-up on the partner's progress/Activities.
- extracting data reports from PTD.
- Providing training on PTD to the partners.
- Book commercial flight tickets for Iraq's national and international staff (Baghdad Office).
- Make hotel reservations for the international staff traveling to Erbil.
- Prepare PT8 (Travel Authorization) for the international staff and the national team when traveling
inside Iraq , and ensure all PT8 for external movements are signed by the Representative, deputy, or OIC in the absence of the two.
- Fill out the business cards form and send it to the bureau for printing (for national and international staff).
- Salary processing for the locally recruited staff members.
- Receive the invoices from the travel agent every month, verify the invoices by checking the supporting documents, then enter the MSRP (UNHCR System).
- Register, Interview, and profile the applicants to select the project beneficiaries using the criteria.
- Ensure accuracy of the data collected in the Beneficiary Form by checking the form to confirm that it is fully filled in order to send for encoding.
- Conduct One-on-one sessions for individual counseling by matching the beneficiary's skills and background with the intended service.
- Assist beneficiaries in the development of business plans and service plans and, following their completion, submit them for approval.
- Preparation of the related documentation in both languages: Arabic and English for delivery of In- Kind Grants (IKGs) or toolkits.
- Assist the Grants Manager in implementing, evaluating, and closing out the grants.
- Assist potential grant recipients in preparing the grant application and grant implementation schedule.
- Conduct periodic site visits to confirm work progress and ensure compliance with the grant agreement and the budget forecasted.
- Assist grantees in developing required progress reports.
- Ensure all required documentation/papers, certifications, and forms required under the regulation for awarding a grant have been completed, signed, and filed.
